Creating the Moments That Move Donors Forward

Nonprofits are investing more than ever to acquire donors, yet keeping those donors engaged remains one of the sector’s hardest challenges. Nonprofits are under immense pressure to replace attritting donors. They are spending more than ever to acquire donors. First-year retention rates have declined, and every interaction after the first gift matters more than ever.

A mailing. A phone call. A text message. An inbound inquiry. Each one may seem small on its own, but each creates a moment that can strengthen—or weaken—a donor’s connection to your mission. When those moments are intentional, personal, and well executed, they can move donors forward. When they are transactional, generic, or disconnected, they can quietly move donors away.

For nearly 25 years, Synergy has helped nonprofits create positive, memorable moments for the people who support their missions. Our work has always been built around one belief: donor engagement is not just about reaching people. It is about designing the interactions that help donors feel known, valued, confident, and motivated to stay connected.

When Synergy began, tele-fundraising was our only service. But from the beginning, we chose not to operate like a traditional call center. Instead of building a call center of our own, we partnered with strong call center operators and focused Synergy’s energy on the elements that most directly shaped donor experience and nonprofit results: strategy, messaging, segmentation, performance analysis, reporting, and go-forward recommendations.

That approach was different. It allowed us to help nonprofits improve not only how many donors they reached, but also the quality of the conversations they had and the value those conversations created. As a result, Synergy grew by staying focused on the donor experience and the return nonprofits needed from each engagement.

Over time, donor communication changed dramatically. Landlines gave way to mobile phones. Calling regulations tightened. Consumer behavior shifted. Contact rates that were once very high declined significantly. Outbound tele-fundraising still has a place, particularly for larger nonprofits that can support it effectively, but it is no longer viable answer for most organizations.

Fortunately, Synergy saw that shift coming. Rather than trying to preserve the way fundraising had always been done, we adapted to the way donors preferred to engage. Our solutions expanded to include broadcast voice messaging, donor conference calls, peer-to-peer texting, MMS texting, DRTV-driven inbound call handling, and mid-level donor engagement. The channels changed, but the central question remained the same: how can this interaction create value for the donor and move the relationship forward?

Inbound call handling is one example of what this philosophy looks like in practice.

Many inbound call-handling programs are viewed as purely transactional. A supporter sees a television spot, calls a toll-free number, makes a gift or asks a question, and the call is completed. At Synergy, we see that call differently. We see it as one of the most important moments in the donor journey.

For many callers, that conversation may be their first direct human interaction with the organization. The experience they have can shape whether they view the nonprofit as responsive, caring, trustworthy, and worthy of long-term support. The transaction may be the reason for the call, but the experience determines what the caller remembers.

That is why every detail matters. Calls must be answered promptly. Representatives must listen carefully, express care and empathy, complete the caller’s request accurately, and create an experience that feels personal rather than mechanical. What happens after the call matters too. Follow-up messaging should acknowledge the interaction, express gratitude, reinforce the donor’s connection to the mission, and provide helpful next steps or resources.

When these elements are designed, managed, measured, and improved, the results can be significant. For one client, Synergy doubled sustainer conversion rates as well as the net revenue per call handled, by focusing on the details that create a positive and memorable donor experience when supporters call the toll-free number.

That is what differentiates Synergy. We are not simply offering a phone solution, a texting solution, a call-handling solution, or a mid-level donor engagement solution. We help nonprofits identify, design, manage, measure, and optimize the moments that influence donor trust, response, retention, and long-term value.

Across every program, we ask whether the interaction creates genuine value for the supporter. Does it help the donor feel closer to the mission? Does it make the organization easier to trust? Does it give the donor a reason to stay engaged? Does it help the nonprofit improve the economics of donor acquisition, retention, and long-term giving?

There is no quick fix to the donor engagement challenges facing nonprofits today. Meaningful relationships are built over time, one interaction at a time. But the organizations that pay attention to those interactions—and invest in making them better—will be better positioned to earn trust, retain donors, and grow support over the long term.
